Installing and UpgradingWhen I double-click the program icon to start Reference Manager, why do I get a message saying "One or more database files are missing!"? When I click OK to continue, a database is not loaded.You can correct this condition several ways. These are described below. A database is missing one of the database files. These files are *.RMD and *.RMX (where * is the name of your database). You can access a database using one of the following options:
I only see the partial word Referenc. I was expecting to see the full Reference Manager 9 title when opening the program.Your system may only handle short file names. If needed, change your directory to eight characters or less. All other file names loaded shortened names correctly during the install.
Displaying and Selecting InformationStarting Reference ManagerWhen you open Reference Manager, why are the tools in the toolbar grayed out?The tools in the toolbar are activated when you have a database open. Open your database by choosing Open Database from the File menu. Once your database is open, the tools in the toolbar become available. [ FAQ ÅäÇÈÀ¸·Î ] Menus and WindowsWhy is the item that I would like to select from the menu unavailable or grayed out?Reference Manager is task specific. For example, if you have your cursor in the upper window in the reference list, you will not be able to select "Generate from a Reference List" from the Bibliography menu. This is because you are actually in the reference editing mode. To make this selection available you would simply move your cursor to the lower window. This act tells Reference Manager that you are done editing and ready to generate a reference list. [ FAQ ÅäÇÈÀ¸·Î ] Reference List DisplayThe references displayed in the Reference List do not show the references I just added. Where are they?References are displayed immediately in the Reference List when you add a reference. However, they are not added and sorted in the sort order you have currently defined; references are added at the bottom of the list of references. Perform a click sort using the column headings to arrange the new and existing references in a particular order. [ FAQ ÅäÇÈÀ¸·Î ] Entering ReferencesUsing the Popup BrowserIs it better to select items using the Automatic Popup Browser? If so, what are the advantages?Speed, accuracy, and uniformity of data. You might type "lag" and discover the keyword "lagenorhynchus-obscurus" is already highlighted. Then all you do is hit enter. Difficult terms only need to be entered (and spelled correctly) once. [ FAQ ÅäÇÈÀ¸·Î ] How can I enter new authors or keywords if the popup browser ignores what I type?You can type information manually and ignore the popup list as long as you use [Tab] to exit to the next field. If you hit [Enter] instead, the popup browser replaces what you typed with the closest item it can find on the list. Note: In multiple entry fields (like authors), type a semicolon after each name and then [Tab] after the last name. [ FAQ ÅäÇÈÀ¸·Î ] Is there any way to activate a popup list only if I want it?You can always use F3 to display a popup list (as long as you are in a field that uses them). To prevent them from appearing "automatically", remove the check next to "Automatic Popup Browser" under Tools-Options.
Keywords"Do I have to enter singular and plurals?"You can, but it makes the Keyword list hard to manage later. It is safest to enter the singular "fin", since it will retrieve records referring to both fin and fins. Note: If you search for "fins" you will not get references for fin. [ FAQ ÅäÇÈÀ¸·Î ] What about "water moccasin" do I have to enter both words?"You COULD enter "water", "moccasin", and "water moccasin" as three separate keywords, but consider what you will probably search for later. Remember - in a database that deals entirely with Water Habitats, the word "water" is important but it isn¡¯t a good keyword since it would probably retrieve everything. Using "salt water" and "fresh water" might be better. "Water moccasin" has a very specific meaning, but it wouldn¡¯t necessarily be a keyword unless you think you might want to refer to it specifically. Remember you can always search Non-indexed fields to find words in any reference field. [ FAQ ÅäÇÈÀ¸·Î ] The Term ManagerWhy do I receive the message "Periodical already in term list. You may not add it as a synonym." when I add a new periodical synonym?One of the periodical synonyms you tried to enter has already been used (it is already a term in another synonym list). [ FAQ ÅäÇÈÀ¸·Î ] You receive the message "<Periodical> and its synonyms may not be deleted while in references. Currently it is contained in <number of> references." when you are trying to delete a periodical. This message appears when you are performing a Global Delete.The periodical you are trying to delete is used by a reference. To verify that the periodical in use is correct, perform a retrieval by periodical name and view the results. If the periodical is not correctly used, you can edit the reference, or delete it, and then delete the periodical. [ FAQ ÅäÇÈÀ¸·Î ] What does the message "You cannot continue because you will exceed the limit of 255 synonyms for a term." mean?This message appears if you are combining several synonym lists together and the total combined synonyms would be greater than 255. As many synonyms as possible were combined until this limit was reached, this message will appear, and the combine process will not continue. [ FAQ ÅäÇÈÀ¸·Î ] Why did I receive the message "Cannot save an empty synonym list. Please input at least one synonym before saving."?This message occurs when you clicked Add Term and tried to save without entering the term or its synonyms. It can also appear when you deleted all periodical synonyms from a list and attempted to save the empty list. [ FAQ ÅäÇÈÀ¸·Î ] Why did I receive the message "The synonym <term> is a duplicate synonym. Please remove duplicate occurrence before saving."?The synonym you are entering already exists in this synonym list. Check to be sure that you are not entering the same periodical synonym twice. (This error message occurs most often when there is a duplicate standard or user abbreviation.) [ FAQ ÅäÇÈÀ¸·Î ] I selected a term from the Synonyms list and deleted it using the backspace key. Why does it still appear in the Terms list?When you highlight a term in the Synonyms list and delete it using [Backspace] or [Delete], you are extracting that term. That means that the term is removed from the synonym list in which it resides, but it is not removed from the list of terms. Delete the term if you no longer need it by selecting the term in the Terms list from the left side of the Term Manager window and click Global Edit. The term you want to delete is displayed in the Global Edit dialog box. Click Delete to permanently remove this term from the terms list for the database. [ FAQ ÅäÇÈÀ¸·Î ] Periodical Term/Word DictionaryWhat is the Periodical Tem/Word Dictionary?This is a dictionary of UN-abbreviated words found in Periodical Names. It is used when importing references using Import/Capture. A period will not be added to a word that is part of an abbreviated name, such as "Acta" in the dictionary when encountered. [ FAQ ÅäÇÈÀ¸·Î ] Retrieving ReferencesWhy did I receive the message "Parameter not found" when I tried to perform a retrieval?You are performing a retrieval on an indexed field, but the text you entered for the parameter does not exist. Verify that you entered the correct text, or press [F3] to display a browse list. Be sure the parameter exists in the database on which you are basing the retrieval. [ FAQ ÅäÇÈÀ¸·Î ] I received the message "Parameter syntax error" when I tried to perform a retrieval. What does this mean?This message can appear for several reasons. Primarily, you have entered text for the parameter that is invalid (for example, the text isn¡¯t enclosed in the proper brackets when using the AND/OR/NOT connectors). [ FAQ ÅäÇÈÀ¸·Î ] Why did I receive the message "Range error in parameter" when I tried to perform a retrieval based on reference ID or publication year?This message appears because you entered an invalid range of numbers in the parameter value. When you enter a range of numbers, the second number must be greater in value than the first number. [ FAQ ÅäÇÈÀ¸·Î ] Why do I receive the message "Parameter list is full. Delete a line before inserting another." when I try to insert another parameter line into my search strategy?The maximum number of lines available for a search strategy is fifteen. Why did the Z39.50 Search Fail?It¡¯s possible that no search results were generated due to one or more of the following reasons:
I get the error message: "Failed to connect¡¦" when trying to use the Internet search feature.If you are having problems with a firewall, you will get the error message: "Failed to connect¡¦" A firewall is a security measure that restricts access between your computer and the Internet. Most firewalls, by default, do not have port 210 enabled. If port 210 and the other port numbers used by BookWhere (Library of Congress uses port 2210) are not enabled, then BookWhere will not be able to search properly. Check the port number for the server and consult your Network Administrator. [ FAQ ÅäÇÈÀ¸·Î ] Importing/Capturing ReferencesHintIf you receive error messages, first confirm that you have selected the proper database service. If you still receive error messages, compare the text file you are trying to import against the sample text file provided (located in the SAMPLES in 9 or SMPLCAPT in 8 subdirectory of your Reference Manager program folder) to verify that the file is in the proper format. An updated list of the database services supported by Import Text File/Capture (including sample files from each) is also available on our web site. [ FAQ ÅäÇÈÀ¸·Î ] What version of Reference Update exports to Reference Manager Version 9/8? Use Reference Update Version 5.1 or higher for seamless export of selected references to a Reference Manager database. It is available from the developers of Reference Update, The Institute for Scientific Information . [ FAQ ÅäÇÈÀ¸·Î ] Why do references imported from an online service or other text file appear strange or garbled?There are four possible reasons:
Why did I receive a message stating "Error adding reference. Unable to continue" while trying to import/capture a text file?This message indicates that the database to which you are trying to import is corrupted. You need to reconstruct/rebuild or restore your database before you can import to it. [ FAQ ÅäÇÈÀ¸·Î ] I received a version 8 message stating "No definitions found in <program directory>\Capture. Reinstall Capture to install the Capture definitions." while trying to locate an Import/Capture definition file or when I clicked Import Text File/Capture in the Import/Capture dialog box. What does this mean?This message indicates the Capture definition files were not installed. Reinstall Reference Manager and check the box to install Capture only. The Capture definition files are installed into the CAPTURE (Import in 9) subdirectory; the Capture sample files (sample text files for each definition) are installed into the SMPLCAPT (Samples in 9) subdirectory. [ FAQ ÅäÇÈÀ¸·Î ] I customized Reference Manager to confirm as you import references, or have specified to prompt or append references if a Imported/Captured tab already exists. Why doesn¡¯t this work with Reference Update?When you export from Reference Update, not all options specified in the Import/Capture tab of the Options dialog box apply. References exported from Reference Update are placed into the Imported/Captured reference list that has been cleared of any references from a previous export or import using Import Text File/Capture. The options that you can specify when you export from Reference Update are how to handle duplicate references (import, do not import, or place into another database). Duplicate detection will only be done against the selected database, not all databases, regardless of what you selected in the Duplicate Search tab in Options. Why do my keywords cutoff after I import?Some fields are limited to 255 characters, words, and/or names. These fields include: All Author fields: 255 characters per author 255 authors total Keywords: 255 characters per keyword 255 keywords total Periodical: 255 characters total The Reference ID field is limited to 20 characters total. Import is bound by the limitations of the above fields. Any excess of authors or keywords during import will be noted in an Import error log file. [ FAQ ÅäÇÈÀ¸·Î ] Output Styles (Journal Formats)Creating Custom Output StylesI received the message "There is a missing (?or ?, please correct this error. You must have both a beginning and ending grouping operator." when you attempt to save an output style, change tabs in the Styles window, or change Reference Type. What does this mean? You have entered either the beginning or ending group operator, without the matching ending or beginning one. In order to use group operators to apply punctuation to groups of fields, you must have both a beginning and ending group operator. [ FAQ ÅäÇÈÀ¸·Î ] Editing Existing Output StylesWhy did I receive the message "Unexpected file format" or "Invalid file format. File is not a Reference Manager file." when I attempted to open an existing output style?The output style you are attempting to open is not recognized as an output style. Possible reasons are:
Note: If your output style is corrupted delete/move it out of the Styles folder in versions 8 & 9, or out of the Journal Format directory in versions 6 & 7. You will need to recreate the output style. When you do your routine backup make sure to include any custom files. You can download output styles off our website. [ FAQ ÅäÇÈÀ¸·Î ] I received the message "Insufficient system resources to complete command." when attempting to open an existing output style. What does this mean?You have too many application windows open, or you have insufficient Windows system resources available (resulting in a lack of available memory). Try exiting other applications before you attempt to open the output style again. If you still receive this message, you do not have enough available system resources and will need to exit all programs and restart Windows. [ FAQ ÅäÇÈÀ¸·Î ] Generating BibliographiesCite While You WriteI installed Reference Manager, but don¡¯t see the menu options in the Tools menu of my word processor. What should I do?If the directory in which your word processor is installed is a read-only directory (for example, if it is located on a network drive and is shared by other users), the installation program could not copy the required files into the directory. See "Word Processor Notes" in the Reference Manager User's Guide for details. [ FAQ ÅäÇÈÀ¸·Î ] I installed Reference Manager and see the menu options in the Tools menu of my word processor, but don¡¯t see the toolbar. Where is it?If the Reference Manager toolbar is not available, choose Toolbars from the View menu and select the Reference Manager toolbar. You can also toggle between the available toolbars by right-clicking on the current toolbar and selecting it from the list. [ FAQ ÅäÇÈÀ¸·Î ] I received the message "Unable to find the Reference Manager reference that is linked to this citation." What does this mean?This message can occur in several places, and indicates that the reference which is cited has been deleted from the database. [ FAQ ÅäÇÈÀ¸·Î ] Why did I receive the message "Please select 1024 or fewer characters." when attempting to insert a citation using Insert Citation?The maximum number of characters you can use when entering identifying text is 1,024. This message appears when you enter identifying text in your document, highlight the text and then choose Insert Citation. [ FAQ ÅäÇÈÀ¸·Î ] I received the message "Please move the insert point outside of the reference list." when attempting to insert a citation.You are attempting to insert a citation inside the bookmark for the reference list. Reference Manager does not allow you to insert citations in the middle of the reference list as the citation will be deleted when the reference list is updated. [ FAQ ÅäÇÈÀ¸·Î ] I received the message "There was a problem running Reference Manager. This problem might be fixed by first running Reference Manager separately, then trying to execute this command again." What should I do?Restart your computer. Open Reference Manager. If this does not solve your problem you will need to re-install Reference Manager. [ FAQ ÅäÇÈÀ¸·Î ] Why did I receive the message "The selected citation was edited since it was last updated. Click OK to update this citation and lose any changes, or Cancel to return to the document"?You cannot edit the unformatted citations inserted when you use Insert Citation or Scan Document, or the formatted citations created when you choose Generate Bibliography. To add additional text to an in-text citation, you must first choose Revert to Original Text, then enter the additional text (as described in Chapter 8), and choose Insert Citation or Scan Document. [ FAQ ÅäÇÈÀ¸·Î ] When printing a bibliography I checked the box to include an optional field (such as reference ID) but it didn¡¯t print. Why not?In order for an optional field (reference ID, notes, abstract, reprint status or keywords) to print, that field must be defined in the output style you selected and you must check the box to include the optional field. [ FAQ ÅäÇÈÀ¸·Î ] When I used the switch to include the year only in a citation (/d) and the year only printed with a comma and space before it (", 1996").Modify the output style you used to associate the comma and space with the author in the in-text citation. For example, instead of <Author Primary>|,?lt;Date Primary>|, change it to <Author Primary>,?<Date Primary>| in the definition for the in-text citation. [ FAQ ÅäÇÈÀ¸·Î ] Insert Citation - My references are all in one database, so why do I have to search all open databases when I hit Insert Citation?If you highlight text before you hit insert citation, it searches the last database you selected. If you hit Insert Citation without highlighting any text, it will let you reselect the database to search. [ FAQ ÅäÇÈÀ¸·Î ] Insert Marked References ? This only inserts records from the last database I was in, right?The program only looks at the ACTIVE tab in Reference Manager, whether that's a Database or a Retrieved list. Whenever there are more than 10 marked references, you will be asked for confirmation before proceeding. This helps you to avoid inserting your entire database by accident. [ FAQ ÅäÇÈÀ¸·Î ] I highlighted "residues" in my manuscript, but my database reference wasn't found.CWYW only searches indexed fields: Authors, Titles Ref ID, Keywords, and Pub Date. Your word may not be in these fields. If you have trouble finding the reference, try doing a retrieval in Reference manager using "All non-indexed fields" and the parameter "residues". Locate the reference you need on the Retrieved list and mark the small box to the left. Then use the "Insert Marked References" option when you return to your manuscript. Consider adding "residues" to your Keyword list if you use it often. [ FAQ ÅäÇÈÀ¸·Î ] If I enter east coast as identifying text, using CWYW, why are references for other coasts retrieved?There are four ways to separate different search criteria's. Using a space, comma, &, or and mean AND. Since you used a space between the words east coast, CWYW searched for any references that had east AND coast. Whenever combined words have a special meaning, use quotes to group the words into one search phrase, as in "east coast". [ FAQ ÅäÇÈÀ¸·Î ] Managing Your DatabasesOpening DatabasesWhy do I receive error number 11012, or a message stating "Database already in use"?The database is currently being accessed by another user; you cannot open a database that is already in use with the single-user edition of Reference Manager. If you wish to access the same database(s) simultaneously with other users, please see information about our network versions of Reference Manager. [ FAQ ÅäÇÈÀ¸·Î ] Why do I receive error number 11013, or a message "The database you selected is not internally a Reference Manager database"?The database you selected has an incorrect naming convention (the database file extension was *.RMD). Therefore, the file is not recognized as being a Reference Manager database. Make sure your database has two files associated with its name (i.e.: database.rmd and database.rmx). You can check this through Windows Explorer in the Reference Manager folder. [ FAQ ÅäÇÈÀ¸·Î ] What happens if I don't close the database before I Exit Reference Manager?Any database open will be closed for you. You will always be prompted to save upon exiting if there is any unsaved information. Reference Manager remembers which database you left open and reopens it automatically the next time you begin. [ FAQ ÅäÇÈÀ¸·Î ] Backups and RebuildsWhen I click Rebuild in the Database Rebuilder dialog box why do I receive a message stating that the specified database does not exist?This message appears if Reference Manager cannot locate the database that you specified to rebuild. Verify that the path and database name you entered are correct. [ FAQ ÅäÇÈÀ¸·Î ] I need to interrupt the rebuilding of my database. What happens when I do?If you must interrupt a reconstruction, you may do so by clicking Cancel. You are prompted if you want to continue the database rebuild. Click No to stop the reconstruct process, Yes to continue. When you cancel a rebuild, you must later finish the rebuild process in order to access that database. [ FAQ ÅäÇÈÀ¸·Î ] The rebuilding of my database unexpectedly quit (due to a power failure). What do I need to do to continue the rebuild process?If a problem such as a power failure causes the rebuild to stop before the database has been rebuilt, you will need to begin the rebuild process again in order to be able to access that database. [ FAQ ÅäÇÈÀ¸·Î ] Why did I receive the message "The <name> database was beyond Reference Manager¡¯s ability to rebuild it. To access this database, you will need to restore a backup of the <name> database." when I tried to rebuild a database?The information contained in this database was so badly corrupted that Reference Manager could not recognize enough information to rebuild it. Data will not be able to be recovered, and you will need to restore from a backup copy in order to be able to access the database. Ensuring that you have current backup copies of your database (frequent backups are very important) allows you to resume use of your database without the loss of too much important information. [ FAQ ÅäÇÈÀ¸·Î ] Tips to Make Things EasierThe following are special hints on how to speed up your system, and warnings that you may find important.
