Reference Manager ¹öÀü 7/6/5 FAQFAQ ÅäÇÈ
General InformationI have recently installed Microsoft Windows 95 and I want to know how Reference Manager will run with Windows 95. Reference Manager is a Windows 3.1x 16-bit application. Microsoft designed the Windows 95 operating system to run all Windows 3.1x-16 bit applications. If you are running Reference Manager with Windows 95 you will notice some improvement with performance since Reference Manager takes advantage of some of the new 32-bit features of Windows 95 (for example, disk access and printing). Here is some important information you should know if you are running Reference Manager with Windows 95:1. Dialog boxes within Reference Manager are not displayed with a Control Menu (or System Menu box). You can access items in the Control Menu if you are using Windows 95 by clicking the secondary mouse button in the title bar of the dialog box. You can also press [Alt] [Spacebar] to display the control menu. 2. If you are retreiving using multiple lines, your retrieval display may be affected. When the retrieval process is complete and you are able to select a Retrieval Results set, one or more of the parameters displayed in the retrieval lines will have disappeared. This is an intermittent problem and is a display problem only - your retrieval is not affected. 3. Reference Manager, as any Windows 3.1x application, does not support the long filenames which are supported under Windows 95. You can generate a bibliography from a manuscript that has a long filename if you select the short filename (that is automatically assigned by Windows 95). If you attempt to generate a manuscript and bibliography using a long filename, Reference Manager will not recognize the name since the program is expecting an eight-character name (following standard DOS conventions). This same holds true for any instance when you need to specify a file name (for example, when you are importing a downloaded text file from a database service). 4. Express Paste does not work with Microsoft Word 7 (the Windows 95 version of Word). [ FAQ ÅäÇÈÀ¸·Î ] I purchased a registered copy of Reference Manager, but when the program comes up it says 'demo version' or I receive a message telling me that the demo version can't open a validated database.From Windows 3.1 Program Manager, click the RefMan icon and then choose Properties from the File menu. Verify that the working directory has the same drive letter and path as the program directory. If you are running Norton Desktop, after selecting Properties, choose Advanced and then enter the drive and path to Reference Manager as the Startup Directory. If you recently received an upgrade to Reference Manager that was unencoded (didn't contain your serial number), and you installed the upgrade into a new subdirectory, then the program will say "demo version." To correct this, install the upgrade into your existing Reference Manager program directory. [ FAQ ÅäÇÈÀ¸·Î ] Database InformationI modified my field names and/or excluded reference types in my database. How can I copy these settings for use in another database?If you are using Reference Manager for Windows Version 6, copy the REFMAN0.DAT file from the modified database subdirectory into the other database subdirectory (you will overwrite the existing REFMAN0.DAT file in the other database subdirectory). If you are using Reference Manager for Windows Version 7, you can copy the database definition by clicking the Copy Database Definition button at the bottom of the Field and Type Editor dialog box (choose Field and Type Editor from the Utilities menu). [ FAQ ÅäÇÈÀ¸·Î ] Can I use my database that I created with the DOS version of Reference Manager with Reference Manager for Windows?Yes. There is no difference in the database structure between databases created with Reference Manager for DOS (Versions 6.X and higher) and Reference Manager for Windows (Versions 6.X and higher). [ FAQ ÅäÇÈÀ¸·Î ] How do I copy or backup my database?Backing up your Reference Manager database becomes increasingly important as it gets larger. Loss of your data is not only inconvenient, but re-entering lost references is expensive, if it is possible at all. We recommend that you back up your database often, and keep a backup of your Reference Manager program directory. Although only you can determine how often to back up your database, a rule of thumb is to back up whenever you have made more changes or additions than you would like to recreate. We also recommend that you keep an "archive" backup of your database, on separate disks from your regular backups. Thus, you still have an old backup to restore even if your regular backups were made after your hard disk developed a bad sector in a part of the database that you do not access often. Even an archive backup that is several months old will save your database from a total disaster. Redoing the work of a few weeks is preferable to starting all over. We suggest that you use your operating system's backup utility to backup your Reference Manager databases
to diskette or tape. [ FAQ ÅäÇÈÀ¸·Î ] I want to maintain multiple large databases without purchasing multiple copies of the software. Why is your licensing designed this way?The new licensing policy for Reference Manager Version 7 or later allows you to create and maintain multiple databases (you can only install the software on a single computer, however). Previous versions of Reference Manager allowed you to install the software on any number of computers, but you were only allowed to create a single large database (and an unlimited number of smaller databases). [ FAQ ÅäÇÈÀ¸·Î ] When I upgrade my Reference Manager program, can I still use my old database? Yes. The Reference Manager database created with Version 6 is completely compatible with Version 7. You also have an option in both Reference Manager Versions 6 and 7 to maintain your database in Version 5 format (this allows your database to remain compatible with previous versions of Reference Manager, including databases created on the Macintosh). My bibliography prints "(abstract)" on some references and I don't want it there.Edit the Generic reference type for the journal format you are using and delete the static text field. I'm getting a share violation when I try to generate a bibliography.Verify that the source manuscript document from which you are generating the bibliography is closed before you execute the generate bibliography function. [ FAQ ÅäÇÈÀ¸·Î ] Word Processor Notes"How can I generate a manuscript and bibliography using Reference Manager Version 7 and Microsoft Office 97/Word 8?"Because Reference Manager is a 16-bit application, and Microsoft Office 97 is a 32-bit application, the two programs are not directly compatible. You can, however, generate final manuscripts and bibliographies using the following workaround:
The resulting bibliography will be in ASCII text format; if your journal format includes any special text formatting characteristics (such as italics for the journal name), you will need to manually edit your bibliography using your word processor. Your final manuscript will still be in RTF format and will retain any special text formatting characteristics in your text, however in-text citations will not have any text formatting (such as superscript or italics) and you will need to manually edit the citations. [ FAQ ÅäÇÈÀ¸·Î ] How do I use Express Paste in my word processor with Reference Manager Version 7?Because of differences in the way Windows 95 or NT works, Express Paste does not work with these operating systems. To use Express Paste with Windows 3.1, open your word processing document and place your cursor at the point where you would like to paste the reference ID or contents of the clipboard. Task switch to Reference Manager and copy the reference ID or reference which you want to paste into your document. Choose Express Paste from the Edit menu, or click the button in the button bar. Reference Manager automatically task-switches to your word processing document and pastes the copied reference ID or reference at your insertion point. References that are copied in Reference Manager using [Ctrl] [C] are pasted in the format you have selected in System Settings (Full, Abbreviated, MEDLINE, RIS, or Journal Format). Express Paste places the contents of your Clipboard into the previous active application at the insertion point (be sure to click in the document at the insertion point, otherwise you may end uppasting information where you don't want it). If the previous application is not your word processing document, you could accidentally paste information into another application. If you were in an editable field in the previous active application (for example, if you were composing an email), using Express Paste places the contents of the Clipboard into the editable field (into your email message). If you were not in an editable field in the previous active application, Express Paste does not paste anything. [ FAQ ÅäÇÈÀ¸·Î ] Why does Reference Manager not recognize a file as being created by Word for Windows?Reference Manager will not recognize a file that has been fast-saved as having been created with Word for Windows. Therefore, be sure to perform a normal save on your original manuscript just before generating a bibliography from it. To do this, choose "Save As" from the File menu, click Options, make sure that the "Allow Fast Saves" box is not checked, click OK, and click OK again to save the file. (You can also access this option by choosing the Save category from the Tools/Options menu.) [ FAQ ÅäÇÈÀ¸·Î ] Journal FormatsI modified my journal format, but it's not printing the way I defined it.You must define the journal format for each reference type that you are citing. Be sure that you have modified the correct reference type. [ FAQ ÅäÇÈÀ¸·Î ] Importing References (Capture)How can I import references from a database service?The Reference Manager Capture module supports hundreds of database services. Refer to our complete list of database services that Capture supports. You may also view a sample download from each supported service to be sure that the format you are downloading in matches the format that we support. [ FAQ ÅäÇÈÀ¸·Î ] I'm having problems importing references using Capture. What can I do to troubleshoot the problem before I contact ISI ResearchSoft Technical Support?Most "Reference too large to import" messages received during import are due to a formatting difference between your downloaded file and the Capture Definition. If you installed the Capture Samples, view the sample text file which shows the file format Capture expects for that definition. The sample files are specified in the CAPTURE.TXT file located in your Reference Manager program directory. Open this file in your word processor, search for the database service and locate the specific database. Open the specified sample file and view it in your word processor. Items to look for are the format of tags (such as AU, TI, SO, and so on) and the delimiter between each reference (such as two carriage return-line feeds). The tag format and delimiter in your downloaded file must match the sample we've provided in order to ensure a successful import. Refer to the latest complete listing of database services (with samples) supported by Capture. [ FAQ ÅäÇÈÀ¸·Î ] The Reference Manager User's Guide states that I can import my references from my word processing file. How do I do this?If your word processing program can export or generate a bibliography file in a tagged ASCII text format, then you have several options to import the references into Reference Manager:
[ FAQ ÅäÇÈÀ¸·Î ] I have a database in a different bibliographic management software program that I want to convert to a Reference Manager database. Can I import the references from the one database into my Reference Manager database? How?If you have been using REF11 or EndNote, we have created Capture definitions that allow you to import references from these database programs (you must first output the references in a tagged format). If you have another bibliographic management program and you can export references in the National Library of Medicine's MEDLINE format, or any tagged format supported by Reference Manager, then you can import the references using one of our pre-defined Capture definitions (follow the bibliographic software's procedure to output the data to an ASCII text file in tagged format). Once the references you want to import into Reference Manager are in an ASCII text file in a tagged format, you can easily import the references. From within the Reference Manager program, open the database to which you want the references imported. Choose to Capture references, select the appropriate database service definition (such as EndNote or NLM MEDLINE), enter the name of your text file (include the complete path and file name), specify the other import options, and import the references. If your biblographic management software program is able to export references in a tagged format, but that format is not one supported by Reference Manager, it is necessary to edit the data so that it conforms with one of the formats that Reference Manager can import. This can be accomplished by writing a program to convert the data, or with the use of the macro feature in your word processor. You may also be able to simply globally search-and-replace data in the file to convert the file to a tagged format. Two of the most common tagged formats used are the NLM MEDLINE format and the RIS Format. We recommend that your data be converted into the RIS Format. as this format supports all the reference types and fields available in the Reference Manager program. The RIS Format specifications are included, in detail, in an appendix of your Reference Manager User's Guide. Either way, once the data has been properly tagged, you can import the references into Reference Manager using the NLM MEDLINE or the RIS Format Capture definition. [ FAQ ÅäÇÈÀ¸·Î ] Capture Definition EditorI have the DOS version of Reference Manager, but I received the Windows version of the Capture Definition Editor. Why?The Capture Definition Editor was developed as a Windows utility only. DOS customers who have access to Windows can use it to create or modify the Capture definitions that are used from within their Reference Manager for DOS program. [ FAQ ÅäÇÈÀ¸·Î ] I cannot locate the Destination Field name in the list box. The fields listed in the Destination Field list box are those fields included in the Generic reference type. The field name you are trying to locate is probably specific to a certain reference type. Refer to the Appendix containing the Reference Type Chart in your Reference Manager User's Guide to see a list of the reference types and the fields to which they map. [ FAQ ÅäÇÈÀ¸·Î ] The tagged field is importing into the wrong Reference Manager field.The fields listed in the Destination Field list box are those fields included in the Generic reference type. The field you are trying to import is probably specific to a certain reference type. Refer to the Appendix containing the Reference Type Chart in your Reference Manager User's Guide to see a list of the reference types and the fields to which they map. [ FAQ ÅäÇÈÀ¸·Î ] When I attempt to import references using Capture and the definition I created, none of the keywords or notes are imported.Ensure that you have "included" the tagged field in the Capture Definition window (included fields are marked with a chevron). In the Capture Information dialog box (from within Reference Manager), ensure that you have specified to include the keywords and notes (the boxes should be checked or the options set to Yes). [ FAQ ÅäÇÈÀ¸·Î ] The author's initials are importing as part of the last name (for example, if the author's name appears as "Helm SK; Saunders DP" in the text file, it imports as "Helm,S.K." and "Sanders D").If the delimiter between the last name and the initials is a space, then you need to remove all spaces before the last name after the semi-colon. To remove the spaces for the above example, you can use ";? as the Delimiter Between Authors, or replace ";? with ";" in the Replace dialog box. [ FAQ ÅäÇÈÀ¸·Î ] The characters "XX" are being imported into the title/notes (or any field).These are probably carriage return-line feed characters, or other invalid characters, that need to be removed in the Replace dialog box for that field. To remove these characters, replace "" (if carriage return line feed) or the invalid characters with nothing or a space, depending on the situation. [ FAQ ÅäÇÈÀ¸·Î ] When I attempt to import references using Capture and the definition I created, one or more of the tagged fields are not importing.Ensure that you have "included" the tagged field in the Capture Definition window (included fields are marked with a chevron). Verify that the Destination Reference Type is selected for the tagged field, and verify that the Tag Label is in the correct Tag Format or make sure that the Tag Format is defined correctly. Verify that the field you are importing is included in the reference type which you are attempting to import (see the appendix in your Reference Manager User's Guide to verify if the field is part of that reference type), and then verify that you have "included" that field using the Field and Type Editor in Reference Manager. [ FAQ ÅäÇÈÀ¸·Î ] When I attempt to import references using Capture and the definition I created, no references are imported.Verify that you have defined the reference types to be imported in the Reference Format dialog box. Also verify that you have defined the Reference Separator. If the Reference Separator is defined, check to see if it exists in the text file. If it does exist, check to make sure that it is not being removed from the text file as a result of a Replace item. If you still encounter problems, verify that all Tag Labels are in the correct Tag Format or make sure that the Tag Format is defined correctly. [ FAQ ÅäÇÈÀ¸·Î ] All author names or keywords are being imported as one name or one keyword.Ensure that you have specified a Delimiter Between Authors/Keywords (this usually occurs if multiple author names or keywords are listed in a single field). [ FAQ ÅäÇÈÀ¸·Î ] The Source fields in my text file are not in a consistent format.In order for all references to import correctly, they must be in the same format. If references in your text file are not in a consistent format (for example, some source fields include an issue number and some don't), you can try to make them consistent using Replace Items in the Replace dialog box. You can also use your word processor to edit the text file to make the Source fields consistent. [ FAQ ÅäÇÈÀ¸·Î ] Reference ListMy reference ID's are numbered but I want to change them to author and publication year instead. How can I do this?From the DOS prompt in the Reference Manager program directory, run the program called RFIDCONV.EXE. [ FAQ ÅäÇÈÀ¸·Î ] I entered a reference and misspelled the journal name. How can I correct the spelling?"Edit the reference, and correct the misspelled journal name (either by retyping the name, or by browsing for it if it already exists). You can also edit the journal name by choosing Periodical Synonym Edit from the Utilities menu (or Edit Journal Synonym if using Version 5). [ FAQ ÅäÇÈÀ¸·Î ] PrintingHow do I print my references?You can print the references in your reference list (either the entire database, or simply those references in your retrieval set) by choosing Print from the File menu, or clicking the Print button in the button bar. You can then choose to print all references in the reference list, or only the marked references. The Bibliography Information dialog box allows you to specify the device, the bibliography output file name (if output is to disk), the output format, sorting information, and additional fields to include. [ FAQ ÅäÇÈÀ¸·Î ] My bibliography prints '(abstract)' on some references, and I don't want it there.Edit the Generic reference type for this journal and delete this Static Text item. For information on editing journal formats, refer to your Reference Manager User's Guide. [ FAQ ÅäÇÈÀ¸·Î ] ValidationWhat is the Validation Disk for?Validation is required for databases created and maintained with Reference Manager Version 6 or older. Validation is no longer required for Reference Manager Version 7. The new licensing policy effective with Reference Manager Version 7 allows you to create multiple databases (of up to 65,000 references each), as long as the Reference Manager program is installed on only one computer (previous versions of Reference Manager allowed you to install the program on any number of computers, but you were only allowed to create and maintain one large (up to 65,000 references) validated database. To understand what the Validation Disk is for, you must first understand the Reference Manager License Agreement. The license agreement accompanying Reference Manager (for Versions 5.5 and 6) entitles you to create a main database containing 65,000 references, and unlimited smaller databases of up to 200 references each. Furthermore, our Version 5/6 license allowed you to install the program and a copy of your main database on as many computers as you wish. The only restriction is that the same database must be copied to each computer. Note that the current licensing policy (effective with Reference Manager for Windows Version 7) allows the end-user to create an unlimited number of databases (each database can contain up to 65,000 references). The current licensing policy also allows the end-user to install and use the Reference Manager program on one computer (if the program is permanently installed on one computer that the end-user uses more than 80% of the time, then the program may also be installed on that user's home or portable computer).
